Why Books Need a Knowledge System

Writing a book is the most demanding long-form writing project most people attempt. The Book Writing Workflow: Four Phases

Phase 2 — Structure and outline: Synthesizing captured research into an argument structure, chapter breakdown, and section-level outline.

Setting Up the Knowledge System

Collections structure

Create a primary Collection: "Book: [Working Title]"

Sub-Collections organized by chapter or topic cluster (not by source type):

  • "Book: Chapter 1 — [Chapter Subject]"
  • "Book: Chapter 2 — [Chapter Subject]"
  • "Book: Chapter 3 — [Chapter Subject]"
  • ... and so on based on your working chapter structure
  • "Book: Ideas and Quotes — No Chapter Yet" — for captures that belong in the book but whose chapter isn't determined yet
  • "Book: Research — Background" — for foundational sources that inform the whole book but don't belong in a specific chapter

If you don't have a chapter structure yet (common in early research phases), organize by topic clusters that you expect to become chapters or chapter sections.

Tags for book writing

By source type:

  • primary-source — original research, documents, primary accounts
  • secondary-source — books, academic papers, journalism
  • interview — interview notes or transcripts
  • data-point — statistics, studies, numerical evidence
  • quote — a quote you may use verbatim
  • counterargument — evidence or perspective that challenges your thesis (essential to capture)
  • case-study — an example or story that illustrates a point

By use in manuscript:

  • to-cite — will need a formal citation
  • used-in-draft — already incorporated into the manuscript
  • key-source — a primary or foundational source for this book
  • background-only — informed your thinking but probably won't be cited

By chapter (if you use tags rather than Collections for chapter assignment):

  • ch-1, ch-2, etc.

Phase 1: Research and Capture

What to capture

For a nonfiction book, you're capturing:

Evidence and data: Statistics, research findings, studies that support your arguments. Capture the source (not just the statistic) so you can cite it properly and verify it later.

Expert perspectives: Quotes, positions, frameworks from people with authority in your subject area. Even if you'll paraphrase later, capture the verbatim quote.

Case studies and examples: Real-world examples, stories, anecdotes that illustrate abstract points. Good examples make abstract arguments concrete.

Counterarguments and contrary evidence: Actively seek out the strongest version of arguments against your thesis. You need to know the objections to address them.

Conceptual frameworks: Other writers' or researchers' frameworks for thinking about your subject — even if you'll develop your own, knowing the existing frameworks is essential.

Interview captures: Notes from interviews, whether formal or informal. Capture key quotes verbatim immediately after (or during) the interview.

Annotation protocol for book research

For each captured source, annotate:

Chapter/topic: [where this belongs in the book structure]
What this says: [one sentence — what is the key point of this source?]
How I'll use it: [evidence for claim X / counterargument to address / case study for point Y / background only]
Key quote (if any): ["exact quote, page number or paragraph"]
Citation needed: [yes/no — what citation format]

The "My reaction/insight" field is the most valuable annotation. Sources that sit in your library without your thinking attached are harder to use than sources with your specific insight about why they matter. A note that says "This study contradicts the conventional wisdom in Chapter 3 — I need to either address it or qualify my claim" is vastly more useful than an unannotated clip.

The counterargument discipline

One common book research failure is building an entirely one-sided source library — you capture everything that supports your thesis and ignore contrary evidence. This produces a book that experts dismiss and that knowledgeable readers don't trust.

Create a "Counterarguments and Complications" sub-Collection. Every time you encounter evidence, a perspective, or a data point that complicates or contradicts your argument, capture it there.   • Update your chapter outline based on what the research actually supports

Phase 2: Structure and Outline

Building the outline from your research

The common approach to book outlining is top-down: develop an argument structure and then find research to support it. A research-first approach is often more productive: look at what you've actually captured and let the accumulated evidence shape the structure.

Chapter-level outline from research:

For each chapter Collection, review what you've captured and answer:

  1. What is the central claim of this chapter?
  2. What are the 3-5 key supporting points?
  3. What are the 2-3 best examples or case studies?
  4. What is the strongest counterargument, and how does this chapter address it?
  5. What research is still missing that this chapter needs?

The answers to these questions produce a chapter-level outline grounded in your actual research, not in an idealized structure.

Open your book's primary Collection in the Canvas view. Arrange key clips by chapter. The visual arrangement helps you see:

  • Which chapters have strong research density vs. thin coverage
  • Whether the chapter sequence makes logical sense
  • Where evidence overlaps between chapters (potential redundancy)
  • Where the narrative or argument flows and where it has gaps

The argument map

For argument-driven nonfiction, create an explicit argument map:

Keep this argument map as a living note in your book Collection. Every time you encounter evidence that changes an argument, update the map. When you sit down to write any chapter, the argument map tells you what you're arguing and what evidence you have to argue it with.


Phase 3: Drafting from Research

The chapter drafting workflow

When you sit down to draft a chapter:

Step 1: Open the chapter's sub-Collection in WebSnips. Review every capture and your annotations.
